Kakobuy Warehouse: Turn Separate Arrivals Into One Clear Board

The warehouse is the first moment when products from different sellers can be managed as one project.

Do not let "stored" become the only status you track. Give every item a clear next action so an unfinished QC question does not disappear inside a growing pile of arrivals.

Build an Arrival Board

Use one row per item.

Recommended columns:

This board is more useful than repeatedly opening every order to remember what is still unfinished.

Stage 1 — Match the arrival to the order

When an item appears at the warehouse, first answer identity questions:

  • Is this the product you ordered?
  • Is the visible color correct?
  • Is the size or model label consistent with the selection?
  • Is the quantity correct?
  • Are expected components visible?

Do not begin a detailed quality discussion before you know that the warehouse item belongs to the right order.

Stage 2 — Build the evidence packet

For each item, decide what evidence is sufficient.

A simple T-shirt may need: front, back, size label, one measurement.

A pair of shoes may need: pair together, side views, heels, outsole, size label, measurement if fit is uncertain.

A structured bag may need: front/back, base, handle/strap, hardware, interior, dimensions.

The point is not to collect the maximum number of photos. The point is to collect the evidence that can actually change your decision.

Stage 3 — Mark the unresolved question

Never leave an item with a vague note such as "check later."

Write the unresolved question explicitly:

  • "Need chest width."
  • "Heel shape unclear."
  • "Wrong color?"
  • "Confirm missing strap."
  • "Keep box or remove?"
  • "Wait for second seller item before parcel."

A precise unresolved question is much harder to forget.

The Parcel-Ready Gate

An item moves to Ready only when all four conditions are true:

Packing note is settled

Hold is a useful status

"Hold" does not mean something is wrong.

Use Hold when:

  • another item is still arriving;
  • you want to compare two products;
  • you are waiting for a measurement;
  • you want the item in a later parcel;
  • shipping options are not yet suitable;
  • you need to decide whether packaging matters.

A clear Hold status is better than rushing an item into the current parcel.

Do not let a haul grow forever

Warehouse storage can create a psychological trap: because another item can be added, the parcel never feels finished.

Set a closing condition before the last items arrive.

Examples:

  • all high-priority items are Ready;
  • no unresolved QC question remains;
  • the intended clothing set is complete;
  • adding another product would only delay the parcel;
  • the parcel already has the bulk profile you planned.

The closing condition should be about your goal, not the number of products still available online.

Before moving from warehouse to parcel

Read the board once from top to bottom.

Check:

  • every selected item says Ready;
  • no Hold item was included accidentally;
  • packaging notes are visible;
  • fragile or structured items have protection notes;
  • the parcel grouping still makes sense;
  • the delivery address has not become an afterthought.

That final pass is the handoff from warehouse management to shipping.
